Ways to share your Outlook calendar on any device

Do you need to share your Outlook calendar but aren't sure how? Then you've landed on the right article, because this wikiHow will teach you how to share an Outlook calendar no matter what device you're on! In this article, we go over how to share an Outlook calendar in Outlook on the web, the new Outlook, and legacy Outlook, for both Windows and Mac.

Note: You cannot share a calendar in the Outlook mobile app. You'll have to use the website or desktop app to do so.

Sharing Outlook Calendars

In the new Outlook and Outlook on the web, click the three-dot icon next to the calendar you want to share, then click Sharing and permissions (or something similar) and add the person you want to share with. In legacy Outlook, you'll have to right-click the calendar to find the Sharing Permissions menu.

Outlook on the Web

    • This method will work whether you're using Outlook on the web on your Windows or macOS computer.
    • The steps are also the same whether you're using a personal, work, or school account.

    Locate the calendar you want to share. Your calendars are located in the left-hand sidebar, under "My calendars."

    Click the three-dot icon next to the calendar you want to share. If you only have one calendar, it will just be called "Calendar."

    Click Sharing and permissions. This will open a dialog window.

    Choose who you want to share the calendar with. In the text field on the page, you can type the email address or contact name of the person you want to share the calendar with.

    Choose whether this person can only view or edit the calendar. If you only want the person you're sharing with to be able to see the calendar items, leave the dropdown option as Can view all details. If you want the other person to be able to edit the calendar, click the dropdown and choose Can edit.

    Click Share to send a share invitation. The invitation will go to the other person's email. That person must accept the share invitation to see the calendar in their Outlook calendar.
    • If you decide you don't want to share your calendar with this person, you can click the trash can icon to delete your progress and start over.

  1. To do this, click on the calendar icon in the upper-left part of the screen. It's directly below the envelope icon.

    Find the calendar you want to share and right-click it. In the left-hand sidebar, under the current and next month calendar view, you'll see a list of your calendars. Find the one that you want to share, then right-click it to open a contextual menu.

    Select Sharing Permissions…. A pop-up window will appear.

    Click Add…. At the top of the window, there will be a pane with the people you're currently sharing this calendar with. Under this pane, you'll see a button that says Add….

    Add someone to share the calendar with. If that person is already in your contacts, you can find them easily by searching your address book. However, if you want to share it with someone not in your contacts, you can type their email address in the field at the bottom of the window.
    • Press OK to add them to the share list.

    Choose the permissions for this person. Near the middle of the window, you'll see two radio buttons that say "Can view" or "Can edit." Choose the permissions you want for this particular person. You'll see the value under the "Permission Level" column change based on your choice.
