Send out an invite for an impromptu or scheduled Teams meeting

Is there somebody missing from your Teams meeting? If you need to add someone to a Teams meeting, there are a few ways to do it. Whether you're adding someone to the invite before the meeting, adding them to an active meeting, or forwarding a meeting you didn't create, it's pretty simple. Keep reading to learn how to add someone to a Teams meeting on desktop and mobile.

Adding People to Teams Meetings

  • To add someone to a meeting invite, simply edit the meeting (or meeting series) and type their name or email in the attendees field.
  • To invite someone mid-meeting, click the People icon and type their name to invite someone in your organization, or click Share invite to send a meeting invite email.
  • If you didn't create the meeting, you can forward an invite by clicking on View event > Forward or View series > Forward.

  1. You can do this by clicking on Calendar in the left-hand sidebar.
  2. If the meeting you want to invite someone to isn't created yet, create it now.

  3. If the meeting is recurring, you'll get a dropdown that lets you edit this individual meeting or the meeting series. If the meeting isn't recurring, you'll just go to the edit screen.
  4. The second field has an icon of a person with a plus sign; it's where you can add someone to a meeting. Simply type the name or email of the person you want to add, then click on it to add them. Repeat this for each person you want to add to the meeting.
  5. It's in the upper-right corner. This will send an update to the person you added to the meeting, letting them know. It will also add the meeting(s) to their Teams calendar.[1]

  1. For these steps, you must already be in a Teams meeting.
    • If you're on mobile, tap More ••• > People in the meeting controls. Then, tap Add people.
  2. Note that this will only pull up people in your organization. To add someone outside of your organization, check out how to share an invite below.
    • If the person you want to invite was already invited to the meeting but isn't in the meeting at the moment, you can click Request to join when you hover their name in the attendance list.
  3. This will send a Teams request to that person to join your meeting.[2]
    • On mobile, tap Done once you're done typing who you want to add to the meeting.

Sharing an Invite During a Meeting

  1. For these steps, you must already be in a Teams meeting.
  2. It's under the "Type a name" field.
  3. If you just want to copy the meeting link and send it to someone else yourself, click Copy meeting link instead, then send that link via email, Teams, or another instant messaging app.
    • Once you do this, your email app will open with a default email pre-filled.
  4. Be sure to type the email address(es) in the "To" field to send the invite to whoever you want to invite.

Forwarding an Invite to Someone

  1. You can do this by clicking on Calendar in the left-hand sidebar.
  2. You can only forward an invite to a meeting you didn't create.
  3. It looks like a double-ended arrow, with one end pointing to the upper right and one to the lower left.
    • If you want to forward an invite to an entire series, click the View series icon, which has a circular arrow.
  4. If you want to forward an entire series, click Forward > All events in the series.
  5. Type their name or email address in the "To" field.
  6. This will send an invite that appears to come from the meeting organizer. When you forward an invite, the person who created the meeting will see that you forwarded it to someone else.[3]
