Tech specialist Luigi Oppido explains how to schedule a meeting from the calendar and group chat

If your organization uses Microsoft Teams, you can set up a new meeting for everything from a small group brainstorm to a presentation for thousands of people. Creating a meeting in Teams is pretty simple, but if you’ve never done it before, we’ll walk you through how to set one with help from tech specialist Luigi Oppido. We’ll explain how to do it from your Teams Calendar, group chat, or mobile app.

How to Set Up a Teams Meeting

Tech specialist Luigi Oppido says to start by opening the Teams app on your device. He says the rest of the process is just as simple:

  1. Click the Calendar tab in Microsoft Teams.
  2. Choose New in the New Calendar or New meeting + in the Classic Calendar.
  3. Add required and optional attendees and set your time and date.
  4. Click Save to schedule the meeting and send email invitations to the attendees.

  2. [2] It's next to an icon of a calendar on the left side of your screen, and you'll see your Teams calendar. This tab will show you any existing meetings you have and allow you to create new ones.

  3. If you want to create an immediate meeting, select Meet now. This will pop up a meeting detail dialogue where you can add attendees, and the meeting will start right away once you click “Save.”
  4. If you’re using the New Calendar, there are two ways to schedule a meeting: Click a timeslot on the calendar, or hit the New button at the top of the screen.
    • If you’re using the Classic Calendar: Oppido says to click New meeting.[3] This pulls up the meeting dialogue box.
    • If you’re not sure which calendar you have: Check the “New Calendar” toggle in the top right corner of the screen—if it’s on, you have the New Calendar, which looks more like Outlook. If it’s off, you’re using the simpler Classic layout.[4]

Oppido says to fill out the details when prompted.[5] This includes the meeting name, the time (if it's a scheduled meeting), required and optional attendees, and the channel name if you want the meeting broadcast to a channel. If you’re creating a repeating meeting, set that up on this screen as well.
    • If you’re adding attendees from outside of your organization, enter their whole email address.
    • Turn on the “Teams meeting toggle” in the new calendar or the “Online meeting” toggle in the classic calendar for online meetings.
    • Add a location if it’s an in-person or hybrid meeting.
    • Attendees will get an app notification and an email letting them know there’s a meeting scheduled.
  6. You'll see this button in the top right corner of the window. Once you click Save, the "New meeting" window will close, and all invited members will get an email in Outlook.
    • Right-click meetings in the calendar to see more options, like deleting them or RSVPing.[6]

Create a Teams Meeting In a Group Chat

  1. If you want to create a meeting for all of the members of a certain chat group, Oppido says to click on the Chat tab, then More chat options at the top of the Chat page.[7] (If you’re scheduling an instant meeting, choose Meet now.)

Schedule a Teams Meeting with the Mobile App

  1. You'll find this app icon that looks like two purple profile icons on a white background on one of your Home screens, in the app drawer, or by searching.
  2. It's a tab at the bottom of your screen on the right side with the icon of a calendar.
  3. This button is in the top right corner of your screen.
    • Depending on the app version you’re using, this button might be an icon that looks like a calendar with a plus sign.
  4. In the "New Event" window that pops up, give your meeting a title, add participants, and set a time and date.
    • If you want a channel to be able to see the meeting and join, tap Share to a channel.

Making the Most of Teams Meetings Features

  1. After you add the meeting attendees, click on the Scheduling Assistant to see everyone’s availability for the time you chose. If someone has a scheduling conflict, drag and drop the meeting slot to a time that works better for everyone.[12]
  2. After the meeting is scheduled, easily change the time by dragging it to a new time slot. You can also choose a new time in the meeting details.
  3. Use this feature if you want to invite colleagues but they’re not required to join:
    • In the New calendar, click on Response options, then Add optional attendees.
    • In the Classic calendar, click on Add required attendees, then Optional +.
  4. Keep your meetings organized by assigning colors to different types of meetings. Either choose the color from the “Category” drop-down or right-click the meeting time, then select “Categorize.”
  5. Meetings can typically have up to 1,000 attendees. But if you need to host a larger group, you can add up to 10,000 additional members with view-only privileges (they won’t be able to use the chat or unmute).
  6. In the meeting details, enable “Recording & transcription” and “Copilot & other AI.” You’ll get a transcription of the meeting after it’s over, and participants can ask Copilot questions during and after the meeting based on the transcript.[13]
  7. Setting up your co-organizers in advance makes it more seamless to present during a meeting. Choose your event, then go to Edit, then More Options, then Meeting Options. Add your co-organizers under Roles.[14]

    Try out “Together Mode.” Oppido says this is a feature that many people don't know about. “Together Mode” puts participants in “a shared virtual space like an auditorium or coffee shop, making remote meetings feel a bit more engaging. There is also a built-in transcription feature during a meeting that could be useful,” he shares.[15]
